Overview

Air Boss (“we,” “our,” or “us”) operates the Air Boss web dashboard and mobile application (collectively, the “Service”). This policy describes what data we collect, how we use it, and your choices.

Information We Collect

We collect information you provide directly, such as your name, email address, and any profile details you enter. We also collect data generated by your use of the Service — including flight records, aircraft reservations, squawk reports, and document uploads — on behalf of the flying club you belong to.

Meter Photos

Meter photos are optional. When you use the meter scan feature in the mobile app, the photo you take of your aircraft's instrument panel is sent securely to our AI processing partner (Anthropic) to extract the meter readings. Anthropic does not use this data to train its models and retains it only transiently for processing; we do not store photos with the AI provider. The photo is then stored in private storage attached to the flight record, where it is visible only to members of your flying club via expiring, signed links. Meter photos are automatically deleted one year after capture. Scanned readings are never recorded automatically — the pilot always reviews and confirms values before a flight is saved. Taking meter photos is entirely optional; manual meter entry is always available.

Fuel Receipt Photos

Attaching a fuel receipt photo when logging a flight is entirely optional; manual fuel entry is always available. When you choose to add one, the photo is sent securely to our AI processing partner (Anthropic) to read the total amount, gallons, date, and vendor. Anthropic does not use this data to train its models and retains it only transiently for processing; we do not store photos with the AI provider. Every value the AI reads is pre-filled for your review — you confirm or correct each field before anything is saved. No fuel data is recorded automatically.

Fuel receipts may display payment-card last-4 digits or fuel-account numbers. Because of this, receipt photos are stored more privately than meter photos: they are accessible only to you (the pilot who logged the flight) and your club's administrators, through expiring, signed links only. Other club members cannot view your fuel receipts.

Receipt photos are automatically deleted one year after the flight is logged. To request earlier deletion, contact us at support@air-boss.club.

How We Use Your Information

We use the data we collect to operate and improve the Service, send transactional communications (such as booking confirmations and maintenance alerts), process billing through our payment provider, and comply with applicable law. We do not sell your personal information to third parties.

Data Sharing

We share data with service providers that help us operate the platform — including cloud infrastructure, payment processing, and analytics — under confidentiality agreements. We may disclose information if required by law or to protect the rights and safety of our users.

Within the platform, flight records and related data are visible to other members of your flying club according to the role-based access controls your club administrator has configured.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Meter photos and fuel receipt photos are each deleted automatically one year after capture. You may request deletion of your account and associated data by contacting us.

Security

We use industry-standard measures to protect your data, including encrypted connections and access controls. Stored files are accessible only through time-limited, signed links. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Your Choices

You can update your profile information within the app at any time. To request deletion of your account or a copy of your data, contact us at support@air-boss.club.

Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Continued use of the Service after changes are posted constitutes your acceptance of the revised policy.

Cookies and Tracking

Vercel Analytics — We use Vercel Analytics to understand aggregate page-view traffic. Vercel Analytics is cookieless and does not set any browser cookies or collect personally identifiable information.

Vercel Speed Insights — We use Vercel Speed Insights to collect anonymous Core Web Vitals data (page-load performance). This service is also cookieless and does not track individuals.

Meta Pixel (optional, consent required) — The site is integrated with the Meta Pixel to measure the effectiveness of marketing campaigns on Facebook and Instagram. The Meta Pixel sets third-party cookies and sends event data to Meta Platforms, Inc. This tracking is disabled by default. It is only activated after you explicitly click “Accept” in the cookie banner shown on your first visit. You can withdraw consent at any time by clearing the airboss_cookie_consent key from your browser's local storage, which will cause the banner to reappear on your next visit.

No other analytics, advertising pixels, session-recording tools, or fingerprinting services are in use at this time.
